From voice note to task — without the pile-up

As of July 2026. You speak faster than you type. The trouble comes after: by the end of the day the good thoughts are sitting around as voice memos, and none of them turns into action. This page explains how a spoken note becomes a reviewed task in Apple Reminders or your calendar — without your audio ever leaving the iPhone.

One note up front: Vocelion, the app behind this flow, is not in the App Store yet. This page describes how it works — and what's deliberately different from a plain dictation or meeting app.

Why voice notes pile up

Recording a voice note is effortless. The catch comes afterwards. A raw transcript is a wall of text you have to read again. A summary is prettier, but still nothing you can tick off. And most cloud alternatives send your voice to someone else's servers to do it — often outside the EU.

The real work isn't the transcribing. It's the step after: pulling the concrete next actions out of spoken thinking — with a due date, a person, a bit of context — and getting them to where you already look.

Four steps to a task

1. Speak. One tap (or hands-free), and you speak a thought or a post-meeting debrief. No meeting bot, no calendar invite, no keyboard.
2. Transcribe on-device. Speech is turned into text entirely on the iPhone (Apple SpeechAnalyzer, German and English with auto-detect). The audio file never leaves the device.
3. Extract in the EU — text only. Only the minimized transcript text goes to an EU server run by the French provider Mistral AI. Back come structured tasks, due dates, people, and decisions — each linked to the exact moment in the recording it came from.
4. Review and adopt. Every extracted item is shown for edit, approve, or dismiss. What you approve goes to Apple Reminders or your calendar — or out as Markdown.

That's the whole arc: from voice to a reviewed task. Vocelion is a processing inbox, not another app to live in.

What ends up in Reminders

Instead of "Voice memo 2:37 PM, 2:41 min," you get real entries you can work through:

• A task with a due date. "Send the proposal to Ms. Berger by Friday" lands in Reminders with a deadline — not as prose you first have to break apart.
• People and decisions surfaced. Who came up, what was decided — visible, not buried between the lines.
• A link to the source. Every task keeps a pointer to the moment in the recording. When in doubt, you hear back in two seconds what you actually said.

Why it stays on-device and in the EU

The flow is deliberately cut so that as little as possible leaves your iPhone:

• Audio stays local. Transcription happens on the device. The recording itself is never uploaded — anywhere.
• Text only, EU only. For extraction, only the minimized text goes to an EU server. No US processing; if the server is unreachable, the app queues and retries — it never reroutes outside the EU.
• No account, no Vocelion backend. Your data lives on the device; optional sync goes only through your private iCloud.
• No training on your data. Ever. And nothing becomes a task or leaves the app without your explicit approval.

Who it's for

The people who get the most out of this are solo professionals who think out loud or debrief after meetings: consultants, coaches, therapists, lawyers, researchers, founders. Anyone who has five thoughts between two appointments — and wants three of them to become tasks, without confidential content going to US servers.

It's a poor fit if you want to record third parties' conversations (deliberately out of scope in v1 — in Germany recording a conversation requires every participant's consent, §201 of the Criminal Code) or if you're after plain system-wide dictation.
